How we collect, use and protect your personal data

Adansi Travels Limited ("Adansi Travels", "we", "us" or "our") is committed to protecting your personal data and respecting your privacy. This Privacy Notice explains what personal data we collect when you use our website and services, why we collect it, how we use and protect it, and the rights you have under Ghana's Data Protection Act, 2012 (Act 843).

We are registered with the Data Protection Commission of Ghana as a data controller. If anything in this notice is unclear, please contact us using the details in the "How to contact us" section below.

Who we are

Adansi Travels Limited is a travel and tourism company based in Ghana. We arrange flights, tours, visa support, accommodation, travel insurance and related services for individual and corporate customers, and we operate a number of connected platforms and brands including our booking systems, SeeGhana, Adansi Properties and our educational travel services.

For the purposes of Act 843, Adansi Travels is the data controller for the personal data we collect about our customers and website visitors. This means we decide what data is collected and how it is used, and we are responsible for protecting it.

What personal data we collect

Depending on how you interact with us, we may collect the following categories of personal data:

Identity and contact data — your full name, date of birth, nationality, gender, passport or national ID number and expiry, photographs where required for visa or ticketing, email address, phone number and postal address.

Booking and travel data — travel dates, destinations, itineraries, flight and hotel preferences, the names and details of people you travel with, and records of your past and upcoming trips.

Payment data — invoices, receipts, mobile money references and card payment records. We do not store full card numbers; card payments are handled by regulated payment providers.

Special (sensitive) personal data — in limited cases, and only where necessary, we may collect data such as medical or dietary information for travel insurance or trip planning, and accessibility needs. We treat this data with additional care.

Technical and usage data — your IP address, browser type, device information, and how you use our website, collected through cookies and similar technologies (see "Cookies" below). When you submit an enquiry or booking form we also record the IP address and browser the request came from, which helps us prevent fraud and abuse.

We collect this data when you make an enquiry, request a quote, make a booking on our website or in person, register for an account, subscribe to updates, or contact our team.

How we use your personal data

We use your personal data only where we have a lawful basis under Act 843. The main bases we rely on are:

  • Performance of a contract — to process and manage your booking, arrange travel services, and provide customer support.
  • Consent — where you have agreed, for example to receive marketing communications, or where we collect special personal data.
  • Legal obligation — to comply with immigration, tax, and other legal requirements.
  • Legitimate interests — to run and improve our business, secure our systems, and prevent fraud, in a way that does not override your rights.

Specifically, we use your data to arrange and confirm your travel; to process payments; to communicate with you about your bookings; to meet visa, airline and embassy requirements; to provide customer service; to send you marketing where you have consented; and to comply with our legal obligations.

We will not use your personal data for a new purpose that is incompatible with the purpose for which it was originally collected without informing you first.

Who we share your personal data with

To deliver your travel services, we share the minimum personal data necessary with third parties who act as recipients or data processors, including:

  • Airlines, hotels, tour operators, ground handlers and destination management companies
  • Embassies and consulates, for visa applications
  • Travel insurance providers
  • Payment service providers and, where you initiate payment through your bank, partner banks that verify your booking reference to process payment
  • Our technology and software service providers who host and support our systems on our instruction

We share only the data each recipient needs for its role. Where a third party processes data on our behalf, we require them to protect it and to use it only for the purpose we specify. We do not sell your personal data.

International transfers

Some of the service providers we use, including our cloud hosting and database providers, store data on servers located outside Ghana. Where your personal data is transferred outside Ghana, we take steps to ensure it remains protected to a standard consistent with Act 843, and we remain accountable for that data.

How long we keep your personal data

We keep personal data only for as long as necessary for the purposes described in this notice, including to meet legal, accounting, tax and regulatory requirements. Retention periods vary by record type — for example, booking and financial records are kept for the period required by law, while marketing data is kept until you withdraw consent. When data is no longer needed, we securely delete or anonymise it.

How we protect your personal data

We use appropriate technical and organisational measures to protect your personal data against loss, misuse and unauthorised access. These include encryption of data in transit and at rest, role-based access controls that limit staff access to what their job requires, secure authentication, activity logging, and regular reviews of our systems. No system is completely secure, but we work continuously to safeguard the data you entrust to us.

Cookies

Our website uses cookies and similar technologies to make the site work, to remember your preferences, and to understand how the site is used. The first time you visit we ask you to choose what you are comfortable with, and we set nothing beyond the strictly necessary cookies until you have chosen.

You can change or withdraw your choices at any time using the Cookie preferences link in the footer of every page, or through your browser settings.

We group cookies into four categories:

  • Strictly necessary — keep you signed in, hold your booking while you pay, and protect the site against abuse. These cannot be switched off.
  • Functional — remember things you have entered, such as a visa application you have not finished, so you do not have to start again.
  • Analytics — tell us which pages people visit and where they get stuck, so we can fix what is not working. We use Google Analytics for this.
  • Marketing — show you our travel offers on other sites, and record which campaign, QR code or travel partner sent you to us so we can credit them. We use the Meta pixel and our own first-party attribution cookies for this.

The cookie preferences panel lists the individual cookies in each category by name.

Your rights

Under Act 843, you have the right to:

  • Access the personal data we hold about you
  • Correct data that is inaccurate or incomplete
  • Request deletion of your data where there is no legal reason for us to keep it
  • Object to processing, including direct marketing, and to withdraw consent at any time
  • Prevent processing that is likely to cause you unwarranted damage or distress
  • Not be subject to a decision based solely on automated processing where it significantly affects you
  • Complain to the Data Protection Commission, and to seek compensation for damage suffered

To exercise any of these rights, contact us using the details below. We will respond within the timeframe required by law. Exercising your rights is free of charge in most cases.

Changes to this notice

We may update this Privacy Notice from time to time. When we make significant changes, we will update the "last updated" date above and, where appropriate, notify you directly. Please review this notice periodically.
